Kanban Board

Agile task management with drag-and-drop columns. Organize work visually and move tasks through workflow stages.

What is the Kanban Board?

  • visual workflow: Columns represent workflow stages (e.g., Backlog, In Progress, Review, Done).
  • drag-and-drop: Move cards between columns to reflect progress.
  • shared tasks: Work with the same tasks as Plan Builder, in a board view.
  • task details: Double-click a card to open the Task Details popup for full editing.

Core Concepts

  • columns: Workflow stages for a specific project + objective.
  • cards: Individual tasks displayed as cards in columns.
  • project scope: Each project has a Kanban board; you select which project to view.
  • objective scope: Within a project, each objective can have its own board.
  • data sources: Boards can use native Kanban tasks or transform Plan Builder tasks into a board view.

Columns

  • customizable: Add, rename, and reorder columns to match your workflow.
  • ordering: Columns are ordered left-to-right; drag or use controls to reorder.
  • card colors: Columns can define a card color to visually differentiate work.
  • hide vs. archive:
    • hidden columns: Temporarily remove columns from the board while keeping them available in the Hidden / archived menu.
    • archived columns: Move rarely used columns out of the main board; restore them from the same menu.
  • defaults: Common starting columns include Backlog, Not Started, In Progress, and Completed/Done.

Cards

  • drag-and-drop: Drag cards between columns to update their state.
  • double-click: Open the Task Details popup to edit the full task.
  • displayed info: Cards show key fields such as task name and progress; details live in the Task Details popup.
  • progress: Track percent complete (0–100%) and keep it consistent with Plan Builder.
  • read-only roles: Watchers can see cards and columns but cannot add, move, or edit them.

For full field behavior, see the dedicated Task Details page. Key fields that affect the board:

  • state: Current column; changing state moves the card between columns.
  • health status: On Track, At Risk, or Blocked; independent from the column.
  • percent complete: Numeric progress used by both Kanban and Plan Builder.
  • dates: Start/target dates for scheduling and reporting.

Board Controls

  • project selector: Choose which project’s board to open.
  • objective selector: Within that project, choose an objective to focus the board.
  • focus mode: Expand the board height to concentrate on cards and columns.
  • hidden / archived menu: Review and restore hidden or archived columns.
  • import tasks: Bulk-add tasks into a column from a simple textual list.

Moving Cards

  • drag to column: Moving a card to another column updates its state.
  • status mapping: Columns labeled with terms like In Progress, Review, or Done map to corresponding progress statuses.
  • plan sync: When a task exists in both views, Kanban status updates sync back to Plan Builder.

Use Cases

  • agile sprints: Track sprint work across Backlog → In Progress → Review → Done.
  • bug tracking: Move issues through triage, in progress, review, and done.
  • feature development: Follow features through design, build, test, and deploy stages.
  • content workflow: Manage content from draft to review to publish.

Tips

  • customize columns: Align column names with how your team actually works.
  • use colors: Use column colors to quickly spot types of work or urgency.
  • assign owners: Ensure every important card has a clear owner in Task Details.
  • set dates: Use start/target dates to understand delivery risk alongside Plan Builder.

FAQ

Can I have multiple Kanban boards per project?

No, each project has one Kanban board.

How do I customize columns?

Use column actions to add, remove, rename, reorder, hide, or archive columns. Restore hidden or archived columns from the Hidden / archived menu in the board header.

What happens when I move a card?

Moving a card updates its state based on the target column. If the task also lives in Plan Builder, its status and progress are kept in sync.

Can I edit tasks without opening the popup?

Cards display key info (like name and basic status), but editing task fields happens in the Task Details popup.
